The finance readiness program is a collaborative partner to the broader uw finance transformation program (uwft)Uwft is a multi-year effort to transform the uw’s existing financial processes through business process redesign and the replacement of legacy systems with modern technologyThis position will be part of the frp collaborative business partner team responsible for ensuring that uw’s central finance division is operationally ready to execute new processes, policies and procedures with excellence post “go live”.
Uw finance transformation has an outstanding opportunity for a temporary program operations analystThis limited term duration position will have an end date contingent on the overall program timeline, which has a planned go-live date of july 2023.
The program operations analyst will provide project analysis and support for the finance readiness program -uw finance transformation (uwm-uwft) program and will work in close partnership with the associate director and project management office (pmo) leadsThis individual will work with project managers to manage and maintain the master project schedule, track the program budget, coordinate hiring and onboarding, serve as administrator for the team sharepoint, smartsheets and jira sites, create status reports, and analyze risks/issues.
This role will be required to maintain excellent working relationships and communications with leaders across frp and the overall uwft programIn addition, this role will need to quickly learn the toolset used to manage the project and be able to efficiently use and manage these toolsThese will be done in a fast-paced project environment that is characterized by an aggressive timeline and changing priorities.
Duties & responsibilities
Project management and analysis
Performs analysis of project work plans, change requests, risks, decisions, and issues in order to help identify any potential impacts to the project schedule or work planCompile status reports for pmoEscalate to pmo manager/director as needed.
Act as liaison between workstreams and the pmo to facilitate achievement of milestones while following established project management methodology.
Train and support team members in pm tools and processes, ensuring consistent application of pm methodology and approach.
Analyze risks, issues, dependencies, change requests, and blockersEscalate any items that could potentially impact project budget, timeline, resources, and scope.
Prepare documentation for weekly status reportingReview all items weekly to identify potential duplications, recurring issues, and trendsPerform research on items that could impact schedule and complete detailed analysis of project impacts and coordinationResponsible for the timely completion of the assessment and feedback loops in the risks, issues and change request process flows.
Support detailed metric tracking around identified, specific deliverables for respective workstreams; identify how metrics should be tracked to feed status reporting for specific deliverables; construct tools and process for capturing metrics for specific deliverables on weekly basis (jira, smartsheet, other).

Attend key workstream meetings, capture outcomes, action items, log in jira and make assignments – manage completion in collaboration with pmo manager and lead.
Track budget forecast/actuals and prepare reports for director.
Provide support for frp stakeholder registerAssist in preparation of presentation and meeting materials for members of the pmo.
Serve as an administrator for the project smartsheet environment, including maintenance of current assets and processes as well as development of solutions as required for consistent application of pm methodology and approach.
Serve as an administrator for the project sharepoint site, adhering to uw data retention requirements, providing a framework for document storage and organization, and designing/updating the program-facing site pages as needed.
Server as an administrator for the frp jira instance including creation/modification of custom fields, workflows, issue types, maintaining appropriate security groups and permissions, managing sprints, and other duties as required.

Required qualifications
Bachelor`s degree (preferably in business administration, information science or related area) and a minimum 4 years’ experience working in a service role, providing support to internal or external customers.
Experience with smartsheet, jira and sharepoint
Expert level user of productivity tools, including microsoft word, excel, powerpoint, and reporting/planning tools.
Strong analytical skills and the ability to manage details.
Ability to work effectively under pressure.
Demonstrated experience as a collaborative team member with good communication skills, including the ability to report important issues and options clearly to supervisor.
Ability to work independently with minimal supervision in a virtual environment.

Working environmental conditions
Work in an open office environment (please note that 100% remote work is acceptable for this position) and contribute to collaborative team work focused on problem-solvingDaily interactions with other team members, subject matter experts and stakeholders at all levels of the organizationWhile the general working hours are within monday through friday, 8 a.m.-5 p.m., this position will, on occasion, need to adjust hours to accommodate the business needs and deadlines.
