Full job description
Proven experience as an administrator, administrative assistant or relevant role
Familiarity with office equipment, including printers and fax machines
Knowledge of office policies and procedures
Experience with office management tools (ms office software, in particular)
Coordinate activities throughout the company to ensure efficiency and maintain compliance
With company policy
Supervise members of the administrative staff, equally dividing responsibilities to improve
Performance
Manage agendas, travel plans and appointments for upper management
Manage emails, letters, packages, phone calls and other forms of correspondence
Support bookkeeping and budgeting procedures for the company
Create and update databases and records for financial information, personnel and other
Data
Track and replace office supplies as necessary to avoid interruptions in standard front
Office procedures
Submit reports and prepare proposals and presentations as needed
Assist colleagues whenever there is an opportunity to do so
Coordinating and managing appointments, meetings, and the conference room schedule in
Order to prevent duplicate bookings.
Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and
Budget tracking.
Maintaining general office files, including job files, vendor files, and other files related to the
Company’s operations.
Purchasing office supplies, equipment, and furniture.
Overseeing the maintenance of office facilities, and equipment.
Performing other relevant duties when needed.
Other attributes: -
Proficient in a variety of computer software applications including microsoft office suite
(word, excel, outlook, and access).
Comfortable handling confidential information.
Multi-tasking and time-management skills, with the ability to prioritize tasks.
